Group Billing (Combined Bills for Linked Accounts)

Group Billing lets a customer who is linked to more than one account receive one combined email with a single consolidated PDF of all their bills, instead of a separate bill email for each account. This is useful for customers who manage multiple properties, meters, or accounts under the same utility provider, for example, a landlord with several rental units or a business with multiple service locations.

The setting is controlled by the customer from their Customer Portal profile, not by an admin on a per-account basis.

Requirements

Before a customer can turn on Group Billing, two things need to be true:

  1. Multiple linked accounts — The customer's Customer Portal profile must already be linked to more than one account. (See Link your Account to your Customer Profile for how customers add additional accounts to their profile.)
  2. Matching contact record — Each linked account needs a contact person on file that matches the customer's profile, since bills are grouped by the contact tied to each account.

If a customer only has one account linked to their profile, this setting has no effect — they'll continue to receive one bill per account either way.

How Customers Enable It

  1. Log in to the Customer Portal.
  2. Go to Profile Settings > Notifications.
  3. Under Settings for all statements, find Group bills into single email.
  4. Check the box. The description under this option reads: "Enable to receive a consolidated PDF of all bills for linked accounts."
  5. Click Save Changes.

Customers can turn this off the same way at any time. This preference applies going forward — it does not retroactively combine bills that have already been sent.

What Happens When It's Enabled

  • During your billing cycle's send-bills step, the system checks each bill against the linked contact's grouping preference.
  • Bills for accounts where the linked contact has grouping enabled are pulled out of the normal one-bill-per-account email queue and instead batched by customer profile.
  • Each grouped customer receives a single email containing one PDF with all of their bills for that billing cycle combined.
  • Bills for accounts without grouping enabled (or without a matching linked contact) continue to go out as individual bill emails as usual.

What Admins See

  • Grouped bill PDFs are generated and delivered automatically as part of the normal Send Bills step there's no separate action required from an admin.
  • Billing cycle progress reporting includes a count of grouped bill PDFs generated for that cycle, alongside the standard bill counts.
  • There isn't a dedicated Admin Portal control that flips this setting directly on the account, but see below for how an admin can still turn it on for a customer.

Enabling It On a Customer's Behalf (Admin Portal)

There's no direct toggle for this setting in the Admin Portal, but an admin can still turn it on for a customer using Magic Link:

  1. From the customer’s Account page, click the icon next to their account name or navigate to Contact Information.
  2. Click the customer portal icon next to the relevant contact to log in as that customer via Magic Link. (See Log in as Customer using Magic Link.)
  3. Once logged in as the customer, go to Settings > Notifications.
  4. Under Settings for all statements, check Group bills into single email.
  5. Click Save Changes.

This is useful when a customer calls in asking for their bills to be combined and doesn't want to log in and change the setting themselves.

FAQ

Can I turn this on for a customer myself from the Admin Portal? There's no direct setting for it in the Admin Portal, but you can enable it on the customer's behalf by logging in as them via Magic Link and updating it from their Notifications settings (see above).

Will grouping affect how charges are calculated or which accounts are billed? No. Group Billing only changes how bills are delivered (one combined email/PDF vs. separate ones). It has no effect on rates, charges, due dates, or delinquency processing for the underlying accounts.

What if a customer has grouping enabled but only one linked account? They'll simply receive their normal single bill ,there's nothing to combine.

Does this apply to paper bills? No, Group Billing applies to the electronic (email) bill delivery method only.
