Payment Reconciliation Workflow
Use reconciliation on the Payment Batches page to track where each deposit stands: verified in your bank, and recorded in your accounting system.
When to use each status
Mark batch reconciled
Use this when the deposit is verified. For example, it appears on your bank statement and matches the batch amount. You can optionally add:
- Deposit date — when the deposit posted to your bank account
- Comment — a note such as a bank statement reference
Mark accounted for
Use this after the batch has been transferred or recorded in your accounting system (general ledger, etc.).
Both statuses can be undone if something was marked in error.
How to update a single batch
- Go to Payment Batches.
- Find the batch you want to update.
- In the row actions, click Mark Reconciled (or Undo Reconciliation if it’s already reconciled).
- If marking reconciled, optionally enter a deposit date and comment, then save.
How to update multiple batches
- Go to Payment Batches.
- Select one or more batches using the checkboxes.
- Click Reconciliation Options.
- Choose one of:
- Mark batch reconciled
- Undo reconciliation
- Mark accounted for
- Undo accounted for
Find batches that still need attention
Open the Reconciled, not accounted for tab to see batches you’ve reconciled to the bank but haven’t yet posted to your books.
You can also show these columns in the table (via the column picker): Reconciliation, Deposit Date, Reconciliation Comment, and Accounted For.
Recommended workflow
- Reconcile when the deposit is verified in your bank.
- Mark accounted for once it’s in your accounting system.
